About the Role
The South African Military Health Service invites applications from suitably qualified and experienced candidates for the position of Administration Clerk: Supervisor (Patient Administration) at the Area Military Health Unit Western Cape in Wynberg.
This supervisory position is responsible for overseeing patient and office administration services, ensuring effective workflow management, compliance with departmental policies, and the provision of high-quality administrative support to management and healthcare personnel. The role requires strong organisational skills, attention to detail, and the ability to supervise staff within a structured healthcare and military environment.
Purpose of the Position
The primary purpose of the Administration Clerk: Supervisor role is to ensure that patient administration and office support functions are delivered efficiently, accurately, and in accordance with approved policies, procedures, and doctrine. The incumbent will supervise administrative processes, support management in meeting operational targets, and contribute to the overall effectiveness of healthcare service delivery at the unit.
The role also focuses on ensuring that personnel administration processes are correctly implemented and that staff adhere to established standards and protocols.
Key Responsibilities
The successful candidate will be responsible for, but not limited to, the following duties:
Office and Patient Administration Supervision
- Ensure the effective functioning of office and patient administration services within the unit.
- Prioritise administrative tasks and manage work schedules, name lists, and leave administration.
- Monitor workflow to ensure timely and accurate completion of administrative activities.
- Coordinate administrative support activities in line with operational requirements.
Administrative and Document Management
- Perform typing, editing, formatting, and amendment of official documents.
- Coordinate and administer client and patient satisfaction surveys as required.
- Ensure accurate record-keeping and filing in accordance with prescribed standards.
- Maintain confidentiality and proper handling of sensitive patient and personnel information.
Management Support
- Provide administrative support to managers and senior officials.
- Monitor adherence to target dates and deadlines and report deviations when necessary.
- Assist with the preparation of presentations, reports, and briefing documents.
- Support management with planning, coordination, and follow-up on administrative matters.
Employee Administration Support
- Assist with the processing of employee administration documentation, including contract renewals and terminations.
- Verify qualifications and documentation submitted by employees where required.
- Support administrative processes related to staff movements and employment changes.
Policy Compliance and Administration Control
- Ensure compliance with policies, procedures, and doctrine related to administrative functions.
- Monitor and enforce correct processes for clearing in and clearing out procedures.
- Administer and oversee leave processes, course nominations, and applications for studies at state expense.
- Manage administrative aspects of study loans, contract renewals, and applications to attend seminars and symposia.
Supervisory and Problem-Solving Functions
- Perform supervisory duties within the administration unit.
- Allocate tasks and provide guidance and support to subordinates.
- Address operational challenges and resolve administrative problems within scope of responsibility.
- Promote teamwork, accountability, and adherence to professional standards.
Minimum Requirements
Applicants must meet the following minimum requirements:
- Grade 12 (NQF Level 4) or equivalent qualification.
- A minimum of three (3) years’ experience in Patient Administration.
- Candidates who do not meet these requirements will not be considered.
Knowledge and Competencies
The ideal candidate should demonstrate the following knowledge, skills, and competencies:
- Knowledge of clerical duties, administrative practices, and office procedures.
- Ability to capture data, operate computers, and compile basic statistics.
- Understanding of the Public Service legislative and regulatory framework.
- Knowledge of working procedures within a healthcare and/or military environment.
- Strong planning, coordination, and organisational skills.
- Computer literacy and proficiency in standard office applications.
- Excellent verbal and written communication skills.
- Language proficiency appropriate to the working environment.
- Ability to supervise staff and manage administrative processes effectively.
