About the Department
The Department plays a vital role in supporting government service delivery through effective administration, governance, and the responsible management of public resources. Central to this mandate is a well-functioning supply chain management system that ensures goods and services are acquired, managed, and distributed in a fair, transparent, and cost-effective manner.
Supply Chain Management (SCM) within the public service is governed by legislation and policies designed to promote accountability, value for money, and ethical conduct. Through its Demand and Acquisition Management Directorate, the Department ensures that procurement processes, asset management, and logistics operations align with national priorities and operational requirements.
About the Role
The Department invites applications from suitably qualified candidates for three (3) Supply Chain Clerk positions within the Demand and Acquisition Management Directorate, based at the Pretoria Head Office.
These positions provide essential clerical and administrative support across supply chain management, asset management, and logistics functions. The successful candidates will assist with maintaining accurate records, supporting procurement processes, managing asset documentation, and ensuring compliance with public service regulations and internal control measures.

Purpose of the Position
The primary purpose of the Supply Chain Clerk role is to support the effective functioning of supply chain operations by providing clerical and administrative services. This includes assisting with asset management, demand and acquisition processes, supplier administration, logistics support, and record-keeping.
The role contributes directly to efficient service delivery by ensuring that supply chain information is accurate, systems are updated, and processes comply with applicable legislation and departmental policies.
Key Responsibilities
The successful candidates will be required to perform the following duties:
Asset Management Support
Render clerical support services related to asset management activities.
Compile, update, and maintain asset records, registers, and electronic databases.
Check, issue, and record furniture, equipment, and accessories issued to components and individual employees.
Verify asset information and ensure alignment between physical assets and asset registers.
Identify redundant, non-serviceable, damaged, or obsolete equipment for disposal in line with approved procedures.
Demand and Acquisition Management Support
Provide clerical support to demand and acquisition management processes.
Assist with updating and maintaining supplier and contractor databases.
Register suppliers on LOGIS or similar government procurement systems.
Request, receive, and capture quotations and specifications on the electronic purchasing system.
Assist with placing orders and issuing or receiving bid documentation.
Procurement and Bid Administration
Provide secretariat and logistical support during bid consideration and contract conclusion processes.
Assist with compiling draft documentation, submissions, and correspondence required for procurement processes.
Ensure procurement documentation is accurately filed and stored for audit and compliance purposes.
Logistics and Stores Support
Render logistical support services, including receiving, verifying, capturing, and issuing goods.
Ensure that goods received correspond with approved orders and specifications.
Maintain and update goods registers and supplier records.
Assist with coordinating the movement and distribution of goods within the Department.
Administrative and Record-Keeping Duties
Capture data accurately on electronic systems and maintain manual and digital filing systems.
Compile basic statistics and reports related to supply chain activities when required.
Ensure adherence to internal control measures, policies, and standard operating procedures.
Perform general administrative duties as assigned by supervisors or management.
Minimum Requirements
Applicants must meet the following minimum requirements:
Grade 12 (Matric) certificate.
No prior work experience is required.
