About the Role
The Department invites applications from suitably qualified candidates for the position of Supply Chain Clerk: Various Components, based in Middelburg, Eastern Cape. This entry-level position is located within the Demand and Acquisition Management component and provides clerical and administrative support across supply chain, asset management, and logistics functions.
The role is ideal for individuals seeking to start or grow a career in public sector supply chain management. The successful candidate will support supply chain operations by maintaining accurate records, assisting with procurement processes, managing asset documentation, and providing logistical and administrative support to ensure compliance with public service regulations and internal policies.
Purpose of the Position
The primary purpose of the Supply Chain Clerk role is to provide effective clerical and administrative support to supply chain management functions. This includes assisting with asset management, demand and acquisition processes, supplier administration, and logistics support. The position contributes to efficient service delivery by ensuring accurate record-keeping, compliance with procedures, and timely support to supply chain practitioners and management.
Key Responsibilities
The successful candidate will be responsible for the following duties:
Asset Management Support
- Render clerical support services related to asset management functions.
- Compile, maintain, and update asset registers, databases, and records.
- Check, issue, and record furniture, equipment, and accessories issued to components and individuals.
- Maintain accurate records of asset movements, allocations, and returns.
- Identify redundant, non-serviceable, damaged, or obsolete equipment for disposal in line with approved procedures.
Demand and Acquisition Support
- Provide clerical support services for demand and acquisition management processes.
- Assist with updating and maintaining supplier and contractor databases.
- Register suppliers on LOGIS or similar government procurement systems in accordance with prescribed requirements.
- Request, receive, and capture quotations and specifications on the electronic purchasing system.
- Assist with the placement of orders and the issuing and receiving of bid documentation.
Procurement and Bid Administration
- Provide secretariat and logistical support during bid consideration and contract conclusion processes.
- Assist with preparing documentation required for bid committees and procurement processes.
- Compile draft documents, correspondence, and reports as requested by supervisors or management.
- Ensure procurement documentation is filed and stored correctly for audit and compliance purposes.
Logistics and Stores Support
- Render logistical support services, including placing orders and coordinating the receipt of goods.
- Receive, verify, capture, and issue goods in accordance with departmental procedures.
- Maintain and update goods registers and supplier records.
- Ensure that delivered items match approved orders and specifications before processing.
Administrative and Record-Keeping Duties
- Maintain accurate and up-to-date administrative records related to supply chain activities.
- Capture data on electronic systems and maintain manual and digital filing systems.
- Assist with compiling basic statistics and reports related to supply chain activities.
- Ensure compliance with internal controls, policies, and public service regulations.
Minimum Requirements
Applicants must meet the following minimum requirements:
- Grade 12 (Matric) certificate.
- No prior work experience is required.
This position is suitable for entry-level candidates who demonstrate a willingness to learn and an interest in supply chain management and public sector administration.
Knowledge and Competencies
