About the Role
The South African Military Health Service invites applications from suitably qualified and experienced candidates for the position of Administration Clerk: Supervisor (Patient Administration) at the Area Military Health Unit Northern Cape in Kimberley.
This supervisory position is responsible for managing and overseeing all patient administration services within the unit. The role focuses on ensuring the efficient handling of health records, patient data, medical accounts, and administrative processes that support quality healthcare delivery. The successful candidate will lead and supervise patient administration staff while ensuring adherence to approved policies, procedures, and healthcare standards.
Purpose of the Position
The primary purpose of this role is to ensure that patient administration services are delivered accurately, efficiently, and in compliance with departmental and legislative requirements. The Administration Clerk: Supervisor will contribute to improved service delivery by maintaining reliable patient records, supporting healthcare practitioners with timely access to information, and ensuring that administrative processes support clinical operations.
This role requires strong supervisory, organisational, and problem-solving skills, as well as a clear understanding of healthcare administration within a structured military environment.
Key Responsibilities
The successful candidate will be expected to perform the following duties:
Supervision of Patient Administration Services
- Supervise and manage all patient administration functions, including reception services and data capturing.
- Allocate tasks to patient administration staff and ensure effective workflow management.
- Monitor staff performance and ensure adherence to policies and procedures.
Health Records and Information Management
- Oversee the management, scanning, capturing, filing, and safekeeping of patient health records.
- Ensure accurate and secure storage of medical information in line with confidentiality requirements.
- Receive, register, retrieve, and prepare health records for healthcare practitioners and management.
Patient Accounts and Support Services
- Manage medical debts and patient accounts in accordance with approved procedures.
- Oversee spectacle services and related patient administration processes.
- Ensure that patient information is accurately recorded for billing and reporting purposes.
Reception and Secretarial Services
- Render comprehensive reception and secretarial services within the patient administration unit.
- Handle patient and healthcare provider enquiries, both in person and telephonically.
- Ensure professional interaction with patients, visitors, and internal stakeholders.
Referral and Documentation Management
- Ensure correct and complete referral documentation for patients referred to other facilities or specialists.
- Verify the accuracy and completeness of patient administration documentation.
- Liaise with relevant departments to resolve documentation issues where required.
Statistics, Reporting, and Monitoring
- Compile and submit monthly and quarterly patient administration statistics for management.
- Ensure accurate data collection and reporting to support planning and decision-making.
- Monitor trends and identify areas for improvement within patient administration processes.
Supervisory and Problem-Solving Duties
- Perform supervisory duties within the patient administration unit.
- Address operational challenges and resolve administrative problems within scope of responsibility.
- Implement corrective measures to improve efficiency and service delivery.
Minimum Requirements
Applicants must meet the following minimum requirements:
- Grade 12 (NQF Level 4) or equivalent qualification.
- A minimum of three (3) years’ experience in Patient Administration within a healthcare environment.
- Failure to meet the minimum requirements may result in disqualification.
Knowledge and Competencies
- The ideal candidate should demonstrate the following competencies:
- Knowledge of clerical duties, administrative practices, and patient administration procedures.
- Ability to capture data, operate computers, and compile administrative statistics.
- Understanding of the Public Service legislative and regulatory framework.
- Knowledge of working procedures within a healthcare environment.
- Strong planning, organisational, and coordination skills.
- Computer literacy and proficiency in standard office systems.
- Excellent verbal and written communication skills.
- Good language proficiency suitable for a diverse working environment.
- Ability to supervise staff, manage workloads, and resolve administrative challenges.
